The July 2003 AES reports are available in Lotus Notes for both fiscal years. The July AES reports for the lapsed year (fiscal year 02/03) are available in the AES 02/03 database in the July/Lapsed folder. The July AES reports for the current fiscal year are available in the AES 03/04 database in the July folder.

The following information is relevant to the July AES reports.

AES Lapsed - 02/03

80% of the Administrative and Graduate Payrolls for payroll 6 were paid in July.

If the account title appears as "Unidentified Account" and for some IFR accounts: transactions from prior years were captured in the AES report for the lapsed period. Please disregard the additional pages and scroll down in the report to where you see the correct account title and year. We are currently working with SUNY to correct this problem.

AES Current - 03/04

20% of the Administrative and Graduate Payrolls for payroll 6 were paid in July. 100% of the Administrative and Graduate Payrolls for payroll 7 and 8 were paid in July.

Allocations have not been posted to the individual accounts. Therefore the adjusted allocation column correctly reflects a zero balance.

Please note that the "Filled/Vacant" page of your AES report may not reflect the correct "Total Expended". The detail information within your AES report is accurate and correctly reflected on the Summary page (page 1). We are currently working with SUNY to correct this problem.

For IFR Account Directors

The cash information for IFR accounts are reflected in the July AES reports in the 03/04 database.

The IFR collection analysis for your July AES reports are available in the AES 03/04 database in the Monthly Cash Collection/July Folder. Revenue is posted to your accounts for the periods 6/30/03 and 07/15/03.

Please note that there is a problem with the "Disbursements (Prior)" totals that are reflected on the "Income Fund Reimb Expenditure Balance" (the cash page) of your AES report. These totals may be inaccurate on your account. The detail amounts reflected in the AES reports are correct. We are currently working with SUNY to correct the problem for your August AES report.
