EH&S Management System

Environmental Health and Safety (EH&S) has created an EH&S Management System to provide resources, integrate procedures and training, and enhances an awareness that promotes environmental stewardship in all facets of the University's mission. Elements of the EHSMS can be found throughout our website including:

Planning:
Planning is conducted by standing committees and with individual organizational units.
  • Identify the needs of the departments and campus organizations to achieve compliance and the goals of University Policy P609.
  • Recognize legal and other requirements so that laws and regulations are known.
  • Establish objectives and targets for improvement.
Implementation/Operation:
Develop the structure and responsibility for deploying the system throughout the organization.

Checking/Corrective Action:

Compliance Tracking

EH&S uses a number of databases to document and track Regulatory/Audit Requirements, Radiation Protection Services, Fire (OFPC) Inspections, EH&S Inspections and Fume Hood Inspections. Access to some of the databases has been made available on-line for individuals who have responsibility to act on specific requirements.

Use the button below to log into the system if you have received notification that a requirement has been identified for your attention.

You will need to have a Lotus Notes account to access this system. When prompted, the username is your email ID (i.e. jsmith@notes.cc.sunysb.edu would be jsmith) and the password is your Lotus Notes Internet password. If you are having trouble accessing this system, please follow the troubleshooting guide below.

Troubleshooting Guide

If you do not have a Lotus Notes account:
Click here to apply for an account. Wait up to three business days for your application to process.
If you already have a Lotus Notes account:
Some early users of Lotus Notes may need to set/reset their Internet password. Follow these instructions to set/reset the Internet password:
  • Start Lotus Notes and click on the "Favorite Bookmarks" on your Bookmark Toolbar (The icon is a yellow folder with an orange star on it).
  • Open "SUNYSB's Address Book".
  • On the left pane, make sure "People" is highlighted. If it isn't, click on it once to highlight it.
  • On the right pane, locate your name on the list.
  • Once you select your name, click on the button labeled "Edit Person".
  • The last item under the "Basics" tab, is "Internet Password". Click on the "Enter Password" button. You will be prompted to enter your password. The password is case-sensitive. After you have finished typing in your password, click on the "OK" button.
  • Click on the button labeled "Save and Close". This completes your Internet password setup.
  • Wait at least one hour for this change to take effect.
If you experience trouble following these instructions, you can contact Client Support at (631) 632-9800 and request additional assistance. Let them know you "need help setting your Lotus Notes Internet password".
If you tried all of the above and still cannot access the EH&S Management System:
Please email Application Support for Administration and give a detailed description of the problem you are experiencing including any error messages or prompts. Please make sure your subject line of the email includes "EH&S Management System".
